Document states

 
 
The document states describe the state the document is currently in, so it depends on the current location of the document in the workflow. It also suggest which companies can see the document and its content.
 
These statuses can be a combination of multiple workflow steps. A change in a document status is often paired with a change in who can see what content. For instance, when a Contractor raises a question to the Consultant (a Request for Information); at Draft the Consultant cannot see the document yet. At Submit, the document becomes available to the Consultant (and to the client as well). The Document then can be amended by the Workflow role(s) in the current step, without the contractor to see an answer. However, when the document Status changes again,
the information entered becomes available.
 
 

Pre-Draft

 
This state only makes sense in some documents e.g. Submittal item.
 

Draft

 
This is the default state for the document, while the document is in draft it is possible to make changes on it and other parties will not be able to see it.
 

Submitted

 
This state says that the document has been created and has been sent to next person in the workflow. At this stage the document has not been sent to other parties yet it remains in another person within your organization probably in order to be reviewed.
 

Sent/Received

 
The document has been reviewed and sent 'over the wall' to other party by selecting the option 'Review and procceed', At this stage the document is already visible for both parties in the workflow.
 

Confirmed/Closed/Approved

 
This is the state when the document reach the end of the workflow , normally it is the approval of the recipient party.
 

Rejected

 
The document has been rejected by the recipient. In this state the document reach the end of the workflow and cannot be modified anymore.
 

Returned

 
The document has been sent back to the previous state in the workflow e.g. some modifications needed before being approved.
 
This state can coexists with another states e.g. once submitted the document that is returned can be 'returned draft'.
 

Withdrawal

 
The document has been created and it still stays within the user company but for some reason the user decide not to go forward with this state. This state ended the workflow.
